Film Premiere AV Setup at Royal Vancouver Yacht Club
When independent filmmakers need to transform a prestigious venue like the Royal Vancouver Yacht Club (R.V.Y.C.) into a professional cinema, they require more than just a projector and screen equipment rental; they need a full-service production partner. Vancouver Projector Rentals recently facilitated a seamless screening experience for a TV pilot premiere hosted in the club’s main dining area.
The Goal: Cinema Quality in a Private Club
The objective was to create a memorable “theatre” atmosphere for a cast and crew of approximately 100 guests. To achieve this within a dining environment, the client required a hands-off Audio Visual solution that included high-definition projection, immersive sound, and technical coordination to integrate with the venue’s infrastructure.
The Technical Solution
To meet the rigorous standards of a film premiere, we deployed a premium Projection and Audio package suite tailored to the room’s constraints:
- Cinema Projection: We used a 16,000-lumen high-output laser projector paired with a 120-in wide fast-fold screen and Drapes. Our technicians managed multiple file formats (HD and UHD) to guarantee crisp, uninterrupted presentation.
- Specialized Optics: Due to the dining room layout, we utilized a 0.69-0.95:1 Short-Throw Lens. This allowed the projector to be placed close to the screen, maximizing floor space for guests and eliminating the risk of shadows from the audience walking in front of the light.
- Immersive Audio: We installed a high-fidelity system featuring four 1300W 15” Speakers (JBL EON715) and a dedicated 1500W 18” Powered Subwoofer (JBLEON718S). This provided a full audio experience, perfect for both the film’s score and ambient music during the reception.
- On-Site Management: A dedicated technician remained on-site to manage media playback, adjust audio levels for introductions, and ensure smooth transitions.
Proactive Problem-Solving
Success was secured during the pre-production site visit. The venue has a critical ceiling height constraint (8-foot ceilings) that would have interfered with a standard screen setup. By identifying this early, we provided a custom projection screen configuration; we set up the fast-fold screen at the bottom of the legs, which worked perfectly with the architecture, preventing potential failure and ensuring every guest had an unobstructed view.

Elevating the Runway: Full AV and Lighting Production for a Fashion Show.
When it comes to fashion shows, the atmosphere is everything. It is not just about the clothes; it is about the mood, the lighting, and the energy in the room. Recently, we had the absolute pleasure of partnering with Carolina Botelho and the Dress Cozy brand to bring their vision to life for a high-profile runway show attended by approximately 250 guests, including photographers and media influencers.
The Vision: Modern, Fancy, and Innovative: Everything started with a basic projector rental for a fashion show; the client wanted to display their logo at the beginning of the catwalk. This event is much bigger than that, so the goal was clear: create a high-end, modern aesthetic that would wow the audience. The client needed a central visual display to showcase their logo and video content, but standard placement wouldn’t work for a runway. Additionally, with so many cameras in the room, the lighting had to be flawless, illuminating the models and the clothing perfectly while maintaining a “fancy” ambiance.
The Challenge: Precision Placement One of the unique challenges of a fashion show is shadow management. If a projector is placed too low, models walking the runway can cast shadows on the screen, ruining the visual effect. We also needed to ensure the lighting provided coverage for the photographers without washing out the video display.
Our Solution: A Custom AV Experience
To achieve that requested “innovative” look, we designed a setup that blended functionality with style.
Visuals: We utilized a high-brightness 5000 Lumen Projector paired with a 120″ Fast Fold Screen. To solve the shadow issue and ensure a clean look, the projector was mounted on a truss structure, positioned high enough to clear the models on the catwalk.
Stage Lighting: This was the star of the show. We built six truss towers around the room’s pillars to create an industrial-chic structure. On these, we mounted a mix of 12x battery-powered parcan lights and 16x regular stage parcan lights. This allowed us to wash the room in color and spotlight the runway effectively.
Professional Audio: No fashion show is complete without a soundtrack. We installed a powerful system featuring four 15″ JBL Professional Speakers, a mixer, and wireless microphones, ensuring the DJ’s mix filled the room and announcements were crisp and clear.
Technician Services: This was a full-service project including delivery, setup, and a dedicated on-site technician to manage AV transitions and monitor audio levels throughout the show.
The Result The evening was a massive success. The combination of dynamic lighting and crisp visuals transformed the venue into a professional fashion house. We were thrilled when the client mentioned that our team’s contribution “made the beautiful evening even more special.”
