That layout is exactly what makes single-screen setups fail: guests on the far sides or near the back simply can’t see a screen placed at one end of the room. The head table, podium, and DJ booth also needed to stay clear of stands and cable clutter, since the same floor doubles as the dance floor once the program wraps up.

    The brief was specific: cover the room visually and audibly end to end, keep equipment out from underfoot, and run two screens in perfect sync so no table misses the slideshow, grad video, or speeches.

    The Vancouver Projector Rentals Solution

    To match the scale of the Pan Pacific ballroom, we built a symmetrical, dual-screen AV package:

    Dual high-brightness projection. We deployed two 8,000-lumen projectors, one per screen, configured for rear projection so the units sat behind the screens rather than in the aisles. That kept sightlines clear and eliminated the shadows a front-projection setup would have cast as guests and staff moved through the room.

    Two large-format screens, positioned symmetrically. On either side of the stage, we installed matching 144″ x 81″ fast-fold screens finished with black dress kits, giving both sides of the ballroom an identical, clean sightline without a single table left looking at an angle.

    Elevated, off-floor rigging. Each projector was mounted on a 2-meter aluminum truss system secured to heavy steel base plates, keeping cables and units off the ground where hundreds of students would later be dancing.

    Full-room audio coverage. Four JBL EON 715 speakers paired with two JBL EON 718S subwoofers ran through a multi-channel analog mixer, giving speeches, music, and video sound even, balanced coverage from the head table to the back wall.

    Synced video, zero lag. HDMI signal distribution mirrored the live feed across both screens simultaneously, so slideshows and the grad video stayed perfectly in sync no matter which screen a table faced.

    Ambient, cable-free lighting. Rechargeable parcan lights added warm uplighting around the room’s perimeter without a single power cable to trip over, complementing the ballroom’s chandeliers rather than competing with them.

    Delivery and On-Site Technician Support

    Coordinating AV for a major downtown hotel means working around loading-bay schedules and tight turnaround windows.
