For this project, we were tasked with transforming a standard office space into a high-functioning panel discussion hub, requiring a sophisticated microphone array and a custom recording solution.

The Goal: Live Sound and Podcast Capture

The client required a dependable audio environment for a multi-speaker panel discussion hosted at their corporate office. The objective was twofold: ensure every word was heard clearly by the live audience and capture the entire discussion with broadcast-quality precision for a future podcast episode.

The Technical Audio Recording Solution

To ensure a professional experience for the six-person panel, we deployed an expansive audio package tailored for group discussions:

• Multi-Microphone Array: We provided six Wireless Handheld Microphones paired with six professional mic stands. This gave each panelist a dedicated audio source, ensuring seamless transitions between speakers.
• High-Fidelity Sound: We installed two Event & Outdoor Speakers on elevated tripods, managed by a centralized Analog Mixer. This allowed our technician to balance levels in real-time to prevent feedback.
• Podcast Integration: Upon a last-minute request, we integrated a high-resolution digital recording interface into the soundboard to capture the raw audio feed directly.

In addition to live event support, we provided professional post-event audio editing services. We recently had the pleasure of partnering with a local host to provide a complete, hands-off audio solution for his live panel discussion and podcast recording at UBC Robson Square. This event is a perfect case study for clients who need more than just equipment; they need peace of mind.

The Vision: A Seamless Live Podcast Recording

The event’s goal was clear: host an engaging live panel discussion and, simultaneously, capture pristine, multi-track audio from all five panelists. This recording would then be edited and produced into a professional podcast episode.

The challenge was logistical. The host needed to be entirely focused on moderating the discussion, not on managing audio levels, checking batteries, or troubleshooting equipment. The client was looking for a “done-for-you” service that covered everything from setup to the final, polished audio file.

The Solution: Beyond Rental, A Full-Service Package

While the initial inquiry was for five wireless microphones and a mixer, we identified a much greater need through our consultation. This wasn’t a simple “rent-and-return” scenario; it required on-site technical management and post-production expertise.

Our team provided a complete, end-to-end audio recording package:

1. Professional Equipment: We supplied five wireless handheld microphones, ensuring each of the panelists had clear, individual audio capture. These were routed to a professional audio mixer and recording interface.
2. On-Site Technician: This was the key to the event’s success. A dedicated VPR technician was on-site for the entire 4-hour event. This technician handled all aspects of the audio: setup, testing, managing frequencies to avoid interference, and actively monitoring the recording levels throughout the live discussion.
3. Complete Post-Production: Our work didn’t end when the event did. After teardown, our team took the raw, multi-track audio files and professionally edited and mixed them. This involved cleaning up the audio, balancing the levels between speakers, and mastering the final track.

The Result: A Flawless Event and a Ready-to-Use Podcast

By having our technician manage the entire audio workflow, the host was able to focus 100% on his panelists and audience. He didn’t have to worry about a single technical detail.

The event was a complete success. The client received the raw audio files as requested, and shortly after, the fully edited, mixed, and broadcast-ready podcast episode.
